General Meetings

Our last Annual General Meeting (AGM) was on 11th September 2025, and the next AGM will be held on Thursday 2nd September 2026 at 2 pm in the Corn Exchange in St Ives - at the start of our regular monthly Members Open Meeting. At the end of this page you will see relevant documents.

The Committee

  • Four Officer Trustees (ie Chair, Vice Chair, Secretary, Treasurer) are elected at the AGM
  • Up to Eight (8) Non-Officer Trustees are elected at the AGM
  • During the year the Trustees may co-opt up to 3 more members as Trustees
  • The Trustees may also invite certain people to meetings, but they do not thereby become Trustees

Procedure

According to our current constitution (see below), the process for AGMs is:

  • The Secretary will give at least 21 days' written notice to all members
  • Every Trustee's term of office comes to an end at the AGM
  • Nominations for election to the roles of Officer or Trustee must be made in writing to the Secretary by the date announced (well before the AGM)
  • Signed nominations can be handed to any Committee member at an Members' Open meeting, or posted or emailed to the addresses on the nomination form

Nomination form

A Nomination form is available on the AGM page, and from the Secretary, but any written document is acceptable if it has:

  • the role the candidate is proposed for (ie Chair, Vice Chair, Secretary, Treasurer, or Committee)
  • the name and member number of the member proposing a candidate, with their signature
  • the name and member number of the member seconding the proposal, with their signature
  • the name and member number of the candidate, with their signature accepting the nomination

Term Limits

  • The Officers (ie Chair, Vice Chair, Secretary, Treasurer) are not allowed to stand in the same role after serving for three consecutive years, without a year's break - but they can stand in other roles or as Non-Officer Trustees
  • Non-Officer Trustees are not allowed to stand as Non-Officer Trustees after serving for three consecutive years, without a year's break, but they can stand as Officers
  • No member is allowed to stand as Officer or Non-Officer Trustee once they have served a total of nine years as Trustee or Committee Member

Notes

  • The AGM can make decisions only if a quorum (10% of members) is present in person or by proxy
  • The newly elected Committee takes office at the conclusion of the AGM
