Group Leaders Handbook - Section 8

POLICIES & PROCEDURES

As a Group Leader you are expected to adhere to our Privacy Notice and Data Protection Policy.  Access to the Beacon system is only given to those u3a members who have a legitimate reason for using it, and all users have been reminded that this privilege should not be misused in any way.  New users of members’ data are required to sign an undertaking before being given access, to say that they understand their responsibilities and will not use or share data inappropriately.

Group Leaders can use Beacon to send emails to members of their group, and this method is recommended because it respects members’ privacy.

Other methods of contacting members (eg sending emails containing a list of members’ email addresses, or creating WhatApp groups where their phone numbers are visible, or saving members’ details to your own computer) may be used if you have explicit permission from every member of the group.

St Ives u3a has the following policies and procedures that you need to be aware of:

  • Data protection
  • Health & Safety
  • Safeguarding
  • Complaints
  • Incident reporting
